Qualifications

The successful candidate will have the following qualifications and skills:

  • Bachelor’s degree in business administration or a related field
  • 3-5 years of work experience in an administrative/office management role
  • Experience planning events for internal and external stakeholders
  • Must have exceptional attention to detail
  • Strong organizational and time management skills, and ability to prioritize
  • Must be a driven, self-starter
  • Comfortable working in a fast-paced environment
  • Excellent communication and problem-solving skills
  • Must be proficient with Microsoft Office Suite and other office technology

Responsibilities

Your responsibilities would include:

Office Curation:

  • Oversee and support all administrative duties in the office
  • Manage a rotation of volunteer administrators
  • Receive, interact with, and orientate visitors
  • Answer, and direct calls
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Coordinate physical space: Desks, meeting room, parking spaces (Outlook)
  • Facilities management:
    • Ensure the space is organized, clean and functional
    • Manage the inventory of office supplies, equipment, IT infrastructure and furniture; assist with procurement and routine maintenance
    • Arranging for and supervising building maintenance
  • Monitor and update office policy and procedure for operational efficiency
  • Manage travel requests: book conference calls, rooms, taxis, couriers, hotels etc.
  • Handle sensitive information in a confidential manner
  • Maintain a safe and secure working environment
  • Support COVID-19 and OHS research and training
  • Provide other support as required; schedule meetings, taking minutes, coordinate calendars.

Events Coordination:

  • Actively plan and execute Agency events in collaboration with the Communications team
  • Identify requirements and expectations for each event
  • Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order
  • Manage event set-up, tear down, and follow-up processes
  • Anticipate and plan for different scenarios
  • Follow a budget
  • Produce post-event reports

Administration Program Supports:

  • Logistics support for service delivery across the agency
  • Maintain inventory of program material packages
  • Timely delivery of program material packages (on and off site)
  • Coordination of gift cards, transportation, petty cash, childcare and food (on and offsite)
  • COVID-19: protocol adherence review
  • Responsible for onsite group room set up and tear down
  • Remote logistics support for offsite group rooms as required
